Prepare for a smooth transition to the latest Culture Cloud software.

Important to-dos for a successful update:

1. Allow employees to receive Culture Cloud system experiences
We will provide you with a list of URLs. Please work with your IT team to allow network and email domain access.

2. Data file and home page banner.
We will review your existing file and let you know if any changes are needed. Our team will adapt your current home page banner for the new UX.

3. SSO authentication
Culture Cloud will use the same SSO connection that you have in legacy, yet there are a few important differences.

We’ve added a layer of security to our authentication process. Our legacy technology leverages either Service-Provider-initiated (SP) or Identity-Provider-initiated (IPD) Single Sign-On (SSO). Culture Cloud leverages both SP/IPD for a more seamless experience. Current clients must ensure both IDP and SP initiated SSO is configured and enabled. Click here for full detail.

4. Design
For standard design branding, Culture Cloud utilizes your company logo and HEX colors for a consistent, branded, recognizable recognition experience. As needed, please involve your brand team.

SSO

Culture Cloud will use the same SSO connection that you had with your previous O.C. Tanner recognition program, but there are a few important differences:

  • We’ve added a layer of security to our authentication process. Our current technology leverages either Service-Provider-initiated (SP) or Identity-Provider-initiated (IPD) Single Sign-On (SSO). The new technology leverages both SP/IPD for a more seamless experience.
  • These descriptions refer to where the SSO request is made. If it’s from O.C. Tanner, then it’s SP-Initiated SSO, as we are the Service Provider (App) initiating SSO to find out the authenticated user. If the SSO request comes from your intranet or Identity Provider first (IDP), it means the Identity Provider has initiated SSO and sent a user who is authenticated with a request to go O.C. Tanner’s Service Provider (App).
  • This means that your employees’ login experience will change slightly with the new technology.
  • Your employees may be prompted to enter their login ID or email address and enter the name of the company they work for. This identifies the employee and routes them to your Identity Provider via SSO, and then they can login as they currently do.

Your employees may go through this experience the first time they visit the site or mobile app and again in the following scenarios:

  • When their previous session has expired
  • If they logged out of their previous session
  • If they have a new computer, device or phone
  • If they’re using a new browser, incognito or a private session to visit the website
  • Or if any of the above applies when they click on a link in the email they receive

Help Desk

Basic troubleshooting tips:

  • Culture Cloud powers recognition experiences: it is not phishing.
  • Culture Cloud works in all browsers. Users should choose Edge rather than Internet Explorer. Be sure users are on the latest browser version.
  • If a user is having issues on the Culture Cloud mobile app, make sure they are on the latest version/operating system of the mobile app from the App Store (iOS) or Google Play (Android).

How should the Help Desk respond if colleagues have trouble accessing or using the platform?

  • Ensure the user is not using a bookmarked old link or a link from an old email.
  • Provide user this link to log in: www.culturecloud.com
  • If they are still having issues, check whether they have a higher security level than a typical employee, to see if the allow list was completed for the higher security level.

Culture Cloud uses the same SSO connection employees have had in their previous O.C. Tanner recognition program, but the login experience will be slightly different. Colleagues may notice some differences in the following scenarios:

  • When they first log in to Culture Cloud
  • If they are logged out of their previous session (which happens every 28 days, subject to change)
  • If they have a new computer or device
  • If they are in a new browser
  • If they are accessing Culture Cloud through an emailed link

If users are asked “What company do you work for?” when logging in, they should enter a company tag (note that company tags are not case sensitive). Company tags are usually the name of the company and/or a web domain the company uses for emails (for example, octanner.com).

Regarding data migration from previous O.C. Tanner recognition program:

  • Award Store “favorite” items and saved addresses will not migrate
  • Everything else will migrate, including: History, Orders, Avatar photos (if populated before update),  Privacy settings, Budget History and current budget data, scheduled eCards and pending Nominations.

FAQs

Q. How can employees log in to Culture Cloud?
Employees can log in at www.culturecloud.com with their company-issued email address.

Q. Why is the Culture Cloud logo on our Recognition website?
The Culture Cloud logo helps employees quickly identify their recognition solution within the tools they use everyday (Outlook, Teams, browser extensions, etc.).

Q. How do the system reminder emails work?
Emails have a positive impact on employee participation. For example, recognition reminder emails increase giving as much as 40%. The frequency of Culture Cloud emails are strategically metered to minimize “email fatigue” and maximize program impact.

Q. Do my users need to download a mobile app?
Yes, users will need to download the Culture Cloud mobile app from the AppStore (iPhone) or GooglePlay (Android).

Q. What is the frequency of the 30-day no-give system email? Can the cadence be changed?
Unfortunately, the cadence can’t be changed. The email is sent every 30 days to users with no give recognition activity and will stop after three attempts. After 90 days, system emails stop.

‍Q. Why does the store change from time to time?
We routinely enhance our store to deliver great products and award options to keep the shopping experience fresh and exciting for your employees.

‍Q. Why is the program page no longer available?
We recognize our clients’ need to communicate the purpose, value criteria, and policies of their recognition programs. In Victories, the programs page was intended to address this need; however, fewer than 1% of users accessed this page.

In Culture Cloud, reminder emails, notifications, and a revamped navigation will educate users and inform their recognition behaviors.

Q. Do I need to update my design assets?
We have updated our standard template, leveraging your company logo and HEX colors, to align to the new technology and allow for expansion of tools and communications over time. For this reason, we no longer support pre-templated legacy designs. Further, to ensure legibility and responsive sizing for web and mobile, we no longer support a tagline. Instead, your tagline can be added to the Welcome Message in Culture Cloud. We can send you the Wordmark so you can make any necessary updates to your files if necessary.
